Description

Playtech is seeking a highly organised and proactive AI Project, Governance & Operations Manager to play a central role in delivering its AI programme. This fast-paced and high-impact role offers strong visibility and the opportunity to contribute directly to the success of AI initiatives.

The successful candidate will be responsible for delivery and operations. This includes coordinating AI tool assessments through the approval pipeline, working with AI Committee gatekeepers and requesters to drive progress to approval. They will also coordinate meetings with governance stakeholders and business teams to progress AI initiatives, assessments, and alignment. Maintaining assessment documentation, project trackers, AI tool registers, and risk reports is key to keeping records accurate and up to date.

Supporting vendor onboarding, including NDAs, account setup, and technical configuration in line with IT, Data Protection, Legal, and Security requirements is also part of the role. Managing AI Committee and programme logistics, including scheduling, agenda planning, documentation, and minute-taking, is essential. The role involves maintaining the AI workstream action log and following up on outstanding items between meetings.

Further responsibilities include supporting business units in defining tool and licence needs and coordinating access to ensure employees receive the required tools. Partnering with licensing and IT teams to manage workspace setup, onboarding, access provisioning, and issue resolution or escalation is required. Maintaining accurate records of licence allocations, uptake, and prioritisation across the AI portfolio is also a key duty.

The role is accountable for Proof of Concept (POC) and sandbox delivery. This involves supporting POC delivery, including setup, participant communication, access provisioning, progress tracking, and feedback collection. Coordinating adoption and usage data across tools, and producing summaries, reports, and surveys to support ROI analysis is also required. Managing the sandbox and playground process end-to-end, including intake, approval, setup, access, and user guidance, is part of this accountability.

Support for budget tracking and procurement processes is also a key area. This includes working with Procurement to onboard new suppliers, coordinating documentation, and supporting setup. Raising purchase orders, tracking approvals, and following up with Finance and Procurement teams is necessary. Reconciling invoices against licences and maintaining accurate spend records, as well as supporting budget tracking and reporting against the annual budget, are also required.

Leading communications and community engagement is another important aspect. This involves acting as the first point of contact for AI tool queries, access, eligibility, guidance, and sandbox requests. Writing and distributing AI communications, including updates, news, training announcements, and programme insights, is required. Managing AI Teams channels, including setup, administration, recordings, and moderation, is also part of this responsibility.

Coordinating Show & Tell sessions and training events, including scheduling, logistics, and follow-ups, is necessary. Coordinating content for the company-wide AI newsletter and maintaining Confluence and Playtech Home AI pages, ensuring content, tool registers, and documentation remain accurate and up to date, are also key duties.

Requirements
  • Experience in project administration, programme coordination, or operations support, ideally in a technology-driven environment (required).
  • Strong organisational and administrative skills, with the ability to manage multiple workstreams and meet tight deadlines (required).
  • Excellent attention to detail, with confidence in maintaining project documentation to a high standard (required).
  • Clear and professional written communication skills, able to draft meeting notes, updates, and stakeholder communications concisely and with structure (required).
  • Comfortable working cross-functionally with a wide range of stakeholders, and confident coordinating across teams to keep processes moving (required).
  • Proficient in Microsoft 365 (required).
  • Genuine interest in AI and technology transformation (required).
  • Jira and Confluence experience for planning, reporting, and programme administration (nice-to-have).
  • Exposure to governance, risk, or compliance processes (nice-to-have).
  • Prior experience in a fast-paced technology or transformation environment (nice-to-have).
