Studio Delivery Coordinator

Description

The Studio Delivery Coordinator is responsible for supporting the successful planning, coordination, execution, and delivery of studio operations and deliverables within agreed timelines, budgets, and quality standards. The role acts as a central point of coordination between internal teams, clients, suppliers, and stakeholders to ensure work progresses efficiently and operational issues are resolved promptly. The ideal candidate is highly organised, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities
  • Coordinate day-to-day studio activities to ensure timely delivery of milestones and deliverables.
  • Assist in developing and maintaining schedules, trackers, and action plans.
  • Monitor progress and escalate risks, delays, or resource constraints when necessary.
  • Ensure documentation is accurate, updated, and properly maintained.
  • Act as a communication link between teams, management, clients, contractors, and suppliers.
  • Organise and coordinate meetings, site visits, and reviews.
  • Prepare meeting agendas, minutes, and follow-up action lists.
  • Provide regular status updates to stakeholders.
  • Support resource planning and coordination across multiple deliverables.
  • Track procurement, deliveries, installations, and operational timelines.
  • Assist in ensuring compliance with company procedures, quality standards, and health & safety requirements.
  • Coordinate handover documentation and close-out activities.
  • Maintain reporting dashboards and KPI trackers.
  • Prepare progress reports, delivery summaries, and documentation packs.
  • Monitor budgets, purchase orders, and invoicing support where required.
  • Ensure all files and records are organised and accessible.
  • Identify process inefficiencies and recommend improvements.
  • Support implementation of management tools and best practices.
  • Contribute to lessons learned and post-delivery reviews.
Requirements
  • Diploma or degree in Project Management, Business Administration, Operations, Engineering, or a related field preferred (preferred).
  • Previous experience in coordination, administration, operations, or delivery support roles (required).
  • Experience working in creative, technical, construction, engineering, or operational environments is considered an asset (preferred).
  • Strong organisational and multitasking skills (required).
  • Excellent verbal and written communication abilities (required).
  • Strong attention to detail and problem-solving capability (required).
  • Ability to manage deadlines and work under pressure (required).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) (required).
  • Familiarity with management software such as Microsoft Project, Asana, Monday.com, Jira, or similar tools is advantageous (preferred).
  • Ability to work independently and collaboratively within a team environment (required).
