Middle Office Manager
This role exists to keep our office environment running smoothly, predictably, and without friction for the team. You’ll help us create a comfortable, well-organized workspace and seamless office experience by owning day-to-day operations, vendor coordination, and events.
- Own the day-to-day office operations and keep everything running smoothly.
- Coordinate cleaning, maintenance, repairs, and general office services.
- Ensure the office is well-stocked (food, snacks, supplies, equipment).
- Manage vendor relationships and maintain an up-to-date supplier database.
- Step in and solve operational issues before they become visible to the team.
- Manage office-related expenses and ensure accurate and timely payments.
- Handle invoice tracking and booking in 1C.
- Prepare and monitor the office admin budget.
- Support budget planning and provide visibility into spending.
- Keep financial processes structured, predictable, and under control.
- Organize office events and team activities (both internal and outdoor).
- Support company-wide events locally in collaboration with the Talent team.
- Build and maintain a reliable network of event vendors.
- Track event budgets and ensure efficient spend.
- Collect feedback after events and turn it into actionable improvements.
- Support travel coordination processes when needed.
- Help the Talent team with occasional operational tasks (merch, gifts, logistics).
- Partner with internal stakeholders to keep office-related processes aligned.
- Be the go-to person for anything related to office operations.
- 2+ years of experience in office management or a similar operational role.
- Strong organizational skills and ability to manage multiple things at once.
- Confident communication with different stakeholders and vendors.
- Proactive mindset — you don’t wait for problems, you prevent them.
- Comfortable working with budgets, numbers, and Excel.
- Upper-Intermediate English or higher.
- Experience with 1C and/or HiBob (nice-to-have).
- Experience organizing corporate events or team activities (nice-to-have).
- Experience working in an international or fast-paced environment (nice-to-have).
