Middle Office Manager

Description

This role exists to keep our office environment running smoothly, predictably, and without friction for the team. You’ll help us create a comfortable, well-organized workspace and seamless office experience by owning day-to-day operations, vendor coordination, and events.

Responsibilities
  • Own the day-to-day office operations and keep everything running smoothly.
  • Coordinate cleaning, maintenance, repairs, and general office services.
  • Ensure the office is well-stocked (food, snacks, supplies, equipment).
  • Manage vendor relationships and maintain an up-to-date supplier database.
  • Step in and solve operational issues before they become visible to the team.
  • Manage office-related expenses and ensure accurate and timely payments.
  • Handle invoice tracking and booking in 1C.
  • Prepare and monitor the office admin budget.
  • Support budget planning and provide visibility into spending.
  • Keep financial processes structured, predictable, and under control.
  • Organize office events and team activities (both internal and outdoor).
  • Support company-wide events locally in collaboration with the Talent team.
  • Build and maintain a reliable network of event vendors.
  • Track event budgets and ensure efficient spend.
  • Collect feedback after events and turn it into actionable improvements.
  • Support travel coordination processes when needed.
  • Help the Talent team with occasional operational tasks (merch, gifts, logistics).
  • Partner with internal stakeholders to keep office-related processes aligned.
  • Be the go-to person for anything related to office operations.
Requirements
  • 2+ years of experience in office management or a similar operational role.
  • Strong organizational skills and ability to manage multiple things at once.
  • Confident communication with different stakeholders and vendors.
  • Proactive mindset — you don’t wait for problems, you prevent them.
  • Comfortable working with budgets, numbers, and Excel.
  • Upper-Intermediate English or higher.
  • Experience with 1C and/or HiBob (nice-to-have).
  • Experience organizing corporate events or team activities (nice-to-have).
  • Experience working in an international or fast-paced environment (nice-to-have).
