- Understanding and control of key travel-related deadlines (rooming, submissions, transfers, and other critical milestones).
- Preparation, maintenance, and regular updates of rooming lists.
- Data validation and quality checks before submitting information to vendors and partners.
- Managing travel changes, including flight modifications, hotel updates, transfer adjustments, and other operational requests.
- Maintaining cost tracking, budget monitoring, and travel-related documentation.
- Ability to coordinate multiple parallel processes while maintaining high service quality and meeting deadlines.
- Work independently with operational systems and tools (Jira, spreadsheets, task tracking systems).
- Coordinating with suppliers and service providers (hotels, transfer companies, etc.).
- Managing and monitor key deadlines (rooming lists, submissions, transfers, and other project milestones).
- Preparation and maintenance of rooming lists.
- Data validation and quality checks before submission.
- Managing travel-related changes and updates (flights, accommodations, transfers).
- Maintaining cost tracking and operational documentation.
- 1–3 years of experience in travel or operations-related roles (required).
- Experience managing trips independently (required).
- Experience working with suppliers/vendors (required).
- English B2 (required).
- Understanding of the full travel lifecycle (end-to-end), from planning and booking to trip completion (required).
- Basic expertise in travel operations, including knowledge of different airline types, hotel chains and categories, travel planning best practices, and industry-specific tips and tricks (required).
- Ability to work independently with internal tools and systems (Jira, spreadsheets, task tracking systems, etc.) (required).
- Strong vendor management skills, including effective communication and coordination with hotels, transfer providers, travel agencies, and other service partners (required).
- Knowledge of Polish legislation and regulations (required).
- Experience interacting with government authorities and public institutions in Poland (required).
- Self-motivated and able to work independently (required).
- Results-oriented with a strong sense of ownership (required).
- Highly organized (required).
- Ability to manage multiple tasks and priorities simultaneously (required).
- Flexible and able to perform effectively under pressure (required).
