Office Coordinator
We are looking for an organized and proactive professional to provide administrative support for the office, ensuring the smooth running of routines and service to employees and visitors. They will be responsible for administrative activities, supplier management, environment organization, operational support, and internal communication. We are looking for someone with attention to detail, good communication skills, intermediate English, and knowledge of Microsoft Office, who can perform well in a dynamic and fast-paced environment.
- Provide administrative support to all departments.
- Receive clients and visitors, ensuring comfort and directing them to the appropriate contact person.
- Manage incoming and outgoing correspondence.
- Administer the biometric system, taxi service, and visitor registration system.
- Coordinate and supervise cleaning service providers, ensuring the organization and hygiene of the office.
- Monitor office conditions and request repairs when necessary.
- Prepare and send weekly reports, when requested.
- Coordinate and maintain updated administrative records.
- Manage internal communication pages.
- Pre-approve office-related requests and invoices with the Office Lead.
- Monitor office equipment and organize technical maintenance when necessary.
- Purchase office supplies and equipment, maintaining adequate inventory control.
- Ensure compliance with company policies, procedures, and guidelines.
- Supervise construction projects, furniture inventory, and maintenance.
- Coordinate appointments, meetings, and assist in event preparation.
- Handle customer complaints and requests.
- High school diploma.
- Intermediate/advanced English (minimum B2 level).
- Organized profile, with a focus on processes, responsibility, and punctuality.
- Attention to detail.
- Ability to work in a dynamic and fast-paced environment, with a proactive attitude in daily tasks.
- Good verbal and written communication skills.
- Good knowledge of the Microsoft Office suite.
