Scheduling Specialist
This role is responsible for managing employee shift work, ensuring all shifts are covered and live tables operate without interruption. The Scheduling Specialist will collaborate with managers, utilize various internal systems, and work towards achieving key performance indicators for the scheduling function. The position involves operating in shifts, handling emergency calls related to scheduling, and performing other duties as assigned by the manager. Additionally, the role includes training new employees and managers, managing staffing level forecasts, and reporting hours for payroll. Replacement of colleagues during absences is also part of the responsibilities, performed during regular working hours.
- Manage employees’ monthly shift work - schedule and any changes throughout the month based on business needs by ensuring that all shifts are always covered, and live tables work with no interruptions
- Manage and approve or reject any schedule events (vacations, sick leave, maternity, paternity leaves, etc.), ensure appropriate coverage is in place
- Collaborate with managers on shift in advance in case certain scheduling tasks need to be handled on shift when out of office hours
- Use various internal systems including but not limited to JIRA, WIKI, MS Office and scheduling software NEVOS, etc.
- Ensure that scheduling function KPI targets are achieved – rotation efficiency, overtime, native language coverage, shuffle service coverage, etc.
- Attendance on meetings organized by direct manager or other departments
- Initiate scheduling efficiency changes, implement different procedures to improve schedule management and workflow
- Responsible for specific projects and tasks
- Operate in shifts, answer scheduler phone (call-outs/lateness/other emergencies which can impact the schedule)
- Inform employees about changes in their schedule via phone/emails
- Perform other duties, as asked by the manager, which are related to this position and which meet the qualifications
- Replace colleagues during their vacations, sick leaves and other absences. Replacement takes place during working time, and it is not considered as additional work
- Payroll - reporting hours from NEVOS to payroll department
- Attendance Tracking - Accurate records, Distribute Documentation to management Team for Issuance
- Training of new employees or other managers to cover scheduling duties while out office
- Manage planning and forecasting of the staffing levels (leavers and potential drop outs)
- High School Diploma required
- 1-2 years of experience scheduling in any field preferred but not required
- Intermediate to advanced knowledge of excel functions
- Organizational skills and high attention to detail
