HR Coordinator

Description

We’re looking for an HR Coordinator to join our team in Warsaw, Poland. In this role, you will be a key driver of our people operations, blending recruitment support with a passionate focus on onboarding and employee engagement. If you are a proactive, detail-oriented individual who thrives in a fast-paced environment and enjoys creating a welcoming workplace, we want to hear from you. This is a fully on-site role based in our local office.

Responsibilities
  • Manage the end-to-end onboarding for new hires including orientation sessions.
  • Coordinate pre-employment logistics including labor medicine (medycyna pracy) and OHS (BHP) training.
  • Prepare HR documentation in compliance with the Polish Labor Code for various contract types such as Umowa o Pracę and B2B.
  • Assist the recruitment team by scheduling interviews across multiple time zones and maintaining data in the Applicant Tracking System.
  • Organize local team-building events and manage the office integration budget.
  • Administer local benefits including MultiSport cards and LuxMed or Medicover platforms.
  • Generate weekly reports on recruitment funnels and onboarding completion rates.
  • Maintain employee personal files (akta osobowе) and ensure strict compliance with GDPR (RODO).
Requirements
  • 3+ years of experience in HR or recruitment coordination within an international company.
  • Practical knowledge of the Polish Labor Code regarding hiring and termination.
  • Experience using ATS or HRIS tools such as Greenhouse or HiBob/BamboHR.
  • Strong organizational skills for high-volume scheduling and event logistics.
  • Professional fluency in Polish and English for daily communication.
  • High attention to detail in data entry and document preparation.
  • Ability to work independently and manage the employee journey from offer to offboarding.
